Advice to make it happen?

From what very little I know about planning an event, I know not to wait until winter, start planning now. Some people must turn in their vacation after they get back from their New Years break, so to help those people out, you almost need a date and location by then.

Plus group camping areas may be getting rented out by then.

...start early, find a place where it will be comfortable at the time of year planned...cool temps are MUCH easier to deal with with than HOT ones...pick a site, contact that site and find out what is happening at the time of year planned and finally, finalize your plans for a site and date and get that word out as soon as possible...some folks plan a gathering with lots of "event" others just let it happen...both ways work, the main thing is choose a site, choose a date and get that word out..........

When I was working, I had to "bid" my vacation weeks in October for the next year. I'm sure many companies like to plan ahead for vacation coverage.

So, get in touch with a campground, pick a weekend, tell everyone here about the specifics and plan for it. That way those who need to take vacation time for traveling there will know as soon as possible so they can make the necessary plans.

Just my two cents.

Slow -

It's been a long time since I've been to Wyoming - never been to any of the national parks. We'd be interested in tying together a weekend gathering with an extended vacation.

Take care,

Hey, Slow!

I don't know how WY runs their state parks/CGs, but here on the left coast they're not to easy to deal with (states, I mean) ... won't let you double/triple up, gotta reserve each site online (if you can reserve at all), and generally not very group-friendly ... there are a few, but very few, that have worked out. I've found the best bet is either a nice privately-owned CG that is eager to work with you, or a nice unique BLM facility. Private CGs have the best amenities (bathrooms, showers, hook-ups, etc.), but some BLM CGs have lots going for them too (usually boondocks or dry camping, though ... NOT necessarily a bad thing ...).

Give it some thought (but, don't over-thnk it!) ... you've got plenty of time ... ;) ...!

We'll be in southeastern UT late-June & early-July, back home for IRG4.0, then taking off on a northern trajectory after that, so I doubt that we'll be able to make it.

Good Luck, have fun, and as always ...

CHEERS!

July date

IRG 4.0 will be sometime in the middle of July, so you might consider middle of August for a better turn out.

Slow....you might try finding a private campground on the outskirts of Yellowstone that is group friendly. Trying to get a group in the Park would be like pulling teeth. A nearby one however could allow for day trips into the park and there is a ton of stuff to see in Yellowstone. Many of the small towns on the edge of the park offer a lot to see and do as well.

Later in the year = less bugs and less people.

Like Grant has mentioned, the private ones will have more amenities, IE showers, regular toilets, electrical without all the hassle of dealing with the National Park System. They may work with you to not require a big down payment to secure the spots, if it's not peak season. Just arrange with them to sort of keep some sites set aside that everyone could stay together as a group and have them make their own reservations. They would just need to mention that they are part of the "teardrop" group. It's gonna take some time to put it all together.

Find out as much info as possible as to what the area has to offer, distances to the park, Teton etc..., post a bunch of links so everyone can check it out prior to making a commitment.

Market it....get people excited about going. Put up a ton of pictures! Yellowstone, if you haven't been is well worth the trip, it's the oldest Natl. Park. And after all....not all of Wyoming can be seen from I 80!

It's difficult to get a group thing together. I do one, but am very limited to the number of people that can attend and it's like 600$ up front to buy it a year in advance through the USFS.

I would suggest that you set it up like a "entertain yourself" type thing. Everyone will find what interests them and do it. A lot of planned events other than a Sat. night potluck may cause brain damage if you are doing it on your own...

Good luck....that area would be ideal! Doug

I really liked that Sinks Canyon Cg you listed...far enough away from Y'stone and J'hole, that maybe you could set it up for a weekend and close enough to them, for folks that might wanna extenda stay...I wouldn't worry about folks making day trips if, the gathering was in a nice area(like you posted)...especially if for just a 3day weekend...there will plenty to do visiting and eating on Sat and like I said, if there are those who wanna extend their trip to before/after to take in other Wyoming attractions, that would be on them and their dime...........

Slow... Glad to see you're thinking of getting a gathering going up in your neck of the woods. :applause: It sure sounds like a beautiful area. If I lived closer I'd definitley come.

If you don't mind my 2 cents.. here are a few thoughts for you.
I have been to alot of gatherings at state parks and have found that in general most folks coming to the gatherings in these parks don't mind if there isn't electricity. Many of them are equipped with a 12 volt system or simply do without and don't seem to mind. Decent toilets and showers however are a different story. Most people seem to prefer these facilities over electricity.

If you are thinking about checking out a state park, you can bring up the general info on the campground facilities in the park on the state park website as well as a map of the camp site loops. http://www.allstays.com/Campgrounds/Wyoming-state-parks-campgrounds.htm This will tell you if there is electricity and what the shower/toilet facilities consist of.
If any of them are close to you in your travels you could also take a drive through to see what the sites/facilities are like. Are they wooded sites, no shade, level, etc. It will give you an idea of what might work well.

Another important thing to take note of is whether or not the sites at a state campground are reservable. If a particular park operates the campground on a first come basis it might be tough to plan for folks to gather there if they don't know for sure whether or not they can get a site.
I was looking at some of the info on Sinks Canyon and it looks very nice but it looks like they don't take reservations at this campground. Something to consider. http://sinkscanyonstatepark.org/index.php?option=com_content&view=article&id=95&Itemid=78

As Grant mentioned, sometimes the state parks aren't too thrilled to hear that a group is looking to go there. It sometimes works out better not to tell them. Let the folks coming to the gathering know what park it's at and pick an area that might be ideal for a group to reserve sites in. EX: Gathering at Nice State Park - reserving sites in Loop A -sites 1 through 20. They can all make their reservations individually and the park doesn't know that a group is forming. What they don't know won't hurt them!

To add to the other suggestions about private campgrounds-If you are thinking about private campgrounds as a possibility, you could also check to see if they have a "group area" and how many small trailers or tents it will accomodate. Sometimes these work out well for a gathering because you can get a bunch of people all in the same area and they are slightly away from the regular sites. Some private campgrounds also offer discounts when there are a certain number of reservations made for a given group.

Whatever you decide do have fun with it. Don't make yourself crazy trying to come up with activities or places for folks to go. Half the time everyone's too busy chatting with everyone else and checking out each other's trailers that other things aren't necessary. Just pick a spot and go camping with your friends. The rest will fall into place while you're there.

Ditto

Postby nrody » Sun Sep 25, 2011 12:39 pm

Ditto to what Theresa said. Don't over think it. Pick a place, pick a date. Decent toilets are nice as well as showers but hook ups are not necessarily a priority. If someone wants to see more of Wyoming, they can do it before or after the gathering.

I have heard that Gros Ventre Campground just north of Jackson was pretty nice. My neighbor has been there a couple of times and even though it is in Teton NP a lot of people don't know about it and it never fills up. It says it is $20 a night with 350 camp spots 20-30 feet apart so you arn't looking at someone else's trailer side. And close to Jackson Hole if you need supplies. CLose to Yellowstone and right in Teton NP. It says water but no electrical hookups. Just an idea. I was going to go up there but the summer went by too quickly this year.

When picking a Private Campground VISIT IT! Or have a good "First Hand" recommendation from someone trusted who has been there.....They all look good over the internet.

At least State Parks, though they have other problems too, are at least consistent with there facilities.

Another thing when picking a date is try not to be in competition with any other gatherings...especially ones with in striking distance of you.

Not doing this could affect not only your attendance, but possibly others.

Happy Trails
